The customer

The Swiss division of a global pharmaceutical manufacturer, marketing its products through partnerships with pharmacy chains, medical centers, and individual pharmacies. Swiss regulations prohibit direct pharmaceutical advertising, so point-of-service presence—branded equipment, educational screen content, and information materials at partner locations—is the primary marketing channel.

The challenge: No visibility over what was promised and what was delivered

Every marketing contract lived in its own Excel file. A single contract could cover a pharmacy chain with five or more locations, each receiving different services—a branded water cooler here, a screen displaying health content there. Tracking whether each service arrived on time, whether the screen was actually showing the right content, and whether a quarterly proof of service matched the original contract commitment was practically impossible.

Payment adjustments for late or missing services were calculated manually. Reconciling what was owed against what was delivered took significant effort every quarter—and the margin for error was high.


The solution: A contract management platform covering the full lifecycle

Brimit built a Dynamics 365 application that manages the complete contract lifecycle from agreement to payment. Partners and service catalogs are centralized. Individual contracts and chain contracts follow separate workflows that reflect how each type actually operates. Services are allocated to specific locations with quantities tracked, and delivery status is monitored with automatic delay flags.

Proof of service verification pulls data from screen reporting systems automatically where available, with manual site visit records filling the gaps. Payment adjustments calculate based on actual delivery performance rather than manual reconciliation.

Users can build and save custom views with their preferred columns and filters—and share them with colleagues. From any contract screen, all related deliveries, locations, and services are one click away.

Three external system integrations handle data exchange without APIs—structured file exports to partner platforms that weren't built for direct connection.
